Kit
The permission questions members answer for each player, such as agreeing to the code of conduct or to photos. Questions marked Required must be agreed before a player can be registered; members can say no to the others. Untick Active to stop asking a question: the answers already given are kept.

Codes the club gives out to lower the price, for example for brothers and sisters. A code can lower the all-at-once price, the deposit or the monthly amount, even down to nothing (then there's no card payment at all). A code only counts as used once the payment goes through.

Every registered player — adult players and children — with the details to check against the FA's Whole Game System, and each player's latest subscription. Use Team to work through one squad at a time, or sort by subscription date to see what has changed recently.

The teams members choose from. Parents adding a child are only offered the children's teams, and adult players only the adult teams. Untick Active to stop offering a team: players already in it stay in it.

Team managers sign in at manager.html and see the players registered to their teams: personal details, medical information, consents, emergency contacts and whether the membership is active. They cannot see payment details. A manager can run several teams, so add one row for each team.
Coaches are added the same way and see exactly what the team's manager sees, but can't change anything: only the manager can order kit for players or give shirt numbers.
Managers are added by email address. Someone who already plays for the club or has children registered uses that account. Anyone else creates a guardian account with this email address, and doesn't need to add any children. Access starts as soon as the account exists and the email address is confirmed.
Checks and qualifications
The FA number of each manager and coach, and when their DBS check, first aid certificate and safeguarding certificate expire. Dates within 60 days are flagged amber, and expired ones red. The manager and the welfare officer are emailed a reminder automatically (set up under Notifications).

Minutes of the monthly managers' meetings. Each meeting has a numbered list of items: what was discussed or agreed, who is doing it and by when. Minutes are saved as a draft until you tick Published. After that, every team manager can read them under Meeting minutes on manager.html, and mark them as read. Read by shows how many have, and who.

Team managers ask to book the clubhouse under Clubhouse on manager.html. Each request says what it's for, whether they need bar staff, and whether the club should arrange a cleaner afterwards or they'll clean up themselves. Review a request to confirm or decline it: the manager sees the answer and your note. A request holds its time until it's declined or cancelled, so two bookings can never overlap.

Club policies that managers (and coaches) must read and accept on their team page. They're reminded with a banner until they have. Each acceptance is recorded with the date and the version. Re-issue a policy when it changes: everyone it applies to is asked to accept the new version, and their earlier acceptances are kept.

Who has accepted
Kit is refreshed every two years. Each ordering period is a round. In a new kit round every player orders. In the second year, untick New kit: returning players can then choose to keep their current kit, and only new players (or anyone who has outgrown theirs) order. Members order on their account page, and team managers can order for players who haven't.

Kit items
What each player orders, and the sizes to choose from (smallest first; totals are listed in this order). Set these up before opening orders. Players must pick a size for every active item.

Emails the system sends by itself. For each one, choose who receives it and write the wording yourself. Words in {{double braces}} are filled in with the details of each email.
Fines
The emails about fines. A player's fine goes to the player (or a child's parent or guardian) and to the team's manager, so either of them can pay; a team's fine goes to the team's manager. Words in {{double braces}} are filled in for each fine.

Fines the club passes on to a player, such as for a yellow or red card, or to a team, such as for the matchday app not being completed correctly. Issuing one makes a Stripe payment link and emails it to the player (or a child's parent or guardian) and the team's manager, or for a team fine just the manager. Either can pay, for example the manager from team funds, and it only needs paying once. If it isn't paid within 7 days they're reminded. If a player's fine still isn't paid after 14 days, the player shows as suspended from training and matches until it is. A team fine that isn't paid after 14 days shows on To do.
| Player | What for | Amount | Issued | Status |

No fines match.
Email a player's family, one or more teams, every member, or the managers and coaches. Everyone gets their own email, once, even when several of their children are included, and nobody sees anyone else's address. A child's email goes to the parent or guardian who registered them.

Every subscription started by a member, or linked from the old website on the Players tab, newest first. Updated by Stripe as payments come in. Manage shows a membership's payments and refunds. The club's treasurer can refund a payment there, in full or in part, and end a membership, which stops any monthly payments still to come.
Cancellation requests
Members ask to cancel a membership from their account page. Deal with it to refund and end the membership; ending it marks the request done. If it was dealt with another way, or isn't going ahead, say so with Done or Decline.
